New Improvements (Kaizens) and new Actions are rapidly captured on the spot with a photo and descriptive text – individually or in a series as part of a feature called Waste Walk. Captured items are allocated to relevant owners, who follow a structured, digital PDCA process designed to follow scientific learning cycles of iterative “slow thinking and rapid action”. Users focus on best next actions, track progress, and record evidence in the form of photos, videos, pdfs, charts, tables and text.
Capture on the move (with picture)
A priority can be allocated, based on a matrix of Frequency versus Impact and a primary benefit category set. These can be updated at any time.
Select owners, priority, category and more
Issues are suitably framed, immediate containments / quick wins are considered and real root causes investigated before formulation of hypotheses / solutions. After business case evaluation, solutions are trialled and iterated before broader rollout, multiple sustainability checks and final benefits validation.
Capture insights on the move in digital workspace
KaizApp® enables prioritisation of both Improvements and Actions according to potential benefits, ensures individual accountability and continuously tracks timelines and delivery using visual completion status. All this makes it easy to manage multiple simultaneous Improvements by exception; increasing both efficiency and effectiveness.
Instantly update progress & from anywhere
KaizApp® provides for custom KPIs per Improvement; including non-financial metrics, costs, benefits and Capex; and KaizApp® collates these to form a business case. As each Improvement progresses, users can easily capture assumptions, targets and updated actuals which update the business case.
Capture assumptions, targets and formulae
These values are displayed in a Value Pipeline based on the progress of each Kaizen and can be viewed in real-time at team, location or enterprise level. This real-time view of financial progress engages senior leaders to support bottom up improvement efforts aligned with objectives. At the same time, KaizApp® creates a clear focus on costs and benefits within each Kaizen, beginning at the problem statement stage. This encourages employees at all levels to think more about both the resources used and the financial implications, so that efforts can be prioritised appropriately for the greatest business benefit.
Engage senior leaders in performance improvement
The need to collate or prepare CI outputs or summaries falls away and instead, key information is freely shared in all directions. This includes viewing individual or team action summaries, holding onscreen progress reviews and sending pdfs of Actions to users. This visibility makes it easier for leaders to align the efforts of various teams and team members who previously may have worked on their own Kaizens in isolation.
Prioritise, sort, track improvement
Users can appropriately prioritise their efforts by ensuring alignment with objectives and business case assumptions can be firmed up as each Kaizen progresses. In this way, effective self-reflection is supported and resources are deployed most efficiently to deliver business benefits.
Achieve alignment by linking improvements to objectives
KaizApp® is designed to directly share summaries and results with senior leaders, without the need to collate or prepare additional reports or presentation materials. This new digital approach represents a significant time-saving for managers and leaders.
Manage implementation ownership and due dates
Click to instantly update any item’s timeline from Not Started to On Time, Running Late or Late. Add extra weeks as needed (black triangle) and update progress on these in the same way.
Users can contribute from anywhere at any time towards the development and completion of each stage of every existing Kaizen within their team. This allows users from different shifts and/or locations to seamlessly collaborate on the same Kaizens to the benefit of all. Unless operating in Private Mode, the Kaizens and actions of all teams in an organisation are searchable and their respective CI activity can be monitored and viewed by all users. This collaboration naturally leads to deeper employee engagement and to better alignment of all improvement efforts with objectives and KPIs.
Coach ‘slow’ thinking
By clicking on any user’s avatar within the application, users can contact one another by phone, email or in-app message.
Send & receive messages, invitations & team wall posts
KaizApp® makes the searching and sharing of best practices easy. Whenever a new Kaizen is captured, similar Kaizens are automatically highlighted to the user; whether active or already completed. Account-wide searches can be conducted at any time using keywords to recommend active and completed Kaizens. In addition, KaizApp® facilitates the habit of frequent sharing of best practice between teams and locations. There is little need to prepare in advance of such inter-team / site sharing sessions, as the relevant summary information is always available in real-time. Such sessions have proven supportive of sustaining both improvement and motivation through healthy competition. (Without KaizApp®, these sharing sessions rarely happen due to the preparation effort involved).
Replicate solutions by finding relevant information & people
Many of the 100+ manufacturing sites globally were too small to employ their own Lean specialists and even the larger ones could not easily demonstrate a financial return from most of their improvements. Major challenges included how to search and share all improvements globally, support and coach improvement remotely and ensure all efforts were prioritised by potential value.
The group Operational Excellence function implemented KaizApp into a first site and quickly realised that with the status of actions, plans and everything instantly visible they could effectively coach improvement from afar with live video. They also found that site-based managers could easily translate operational improvements into business cases.
As KaizApp rolled out to further sites, managers frequently presented their own improvements to each other and to other sites directly from KaizApp without any time spent writing presentations. This drove both knowledge sharing and healthy competition.
